SKS Technologies: Streamlining HR Processes

SKS Technologies partnered with Revium to automate their HR recruitment process. Revium developed a modern letter of offer solution to improve SKS Technologies' overall efficiency, minimise human error and provide an enhanced user experience for both internal staff and external candidates.

Overview

SKS Technologies is an ASX listed business that designs and installs electrical, audiovisual and communications networking systems for a large range of blue-chip customers spread across all industry sectors. Seeking to enhance their HR processes, SKS Technologies partnered with Revium to automate and streamline their letter of offer production workflow.

Challenge

The existing process for producing a letter of offer was highly manual and labour-intensive. HR personnel had to identify the correct template, capture candidate information in an Excel workbook, manually adjust the template, print the PDF, and email it to the hiring manager. This cumbersome process was prone to errors and inefficiencies, leading to delays and inconsistencies.

Solution

  • Revium conducted a thorough review of the existing Excel templates and recreated them in Microsoft Word, utilising mail merge fields to enhance functionality.

  • Data collection was transitioned to Microsoft Forms, simplifying user input and incorporating a bulk upload feature for Excel requests.

  • To modernise the signature collection process, Adobe Acrobat's e-sign agreement system was implemented, eliminating physical paperwork and accelerating the signing process.

  • Microsoft Power Automate was chosen to integrate these elements into a cohesive workflow, ensuring seamless orchestration and management of the end-to-end process.

Outcome

  • The implementation of these solutions significantly reduced the time required to send a letter of offer and minimised human error.

  • The streamlined workflow improved overall efficiency, allowing HR personnel to focus on more strategic tasks.
